It takes a village to support our incredible band program, and there’s a place for everyone to help out—no matter your schedule, skillset, or experience level!
Last year over 50 band parents devoted significant amounts of time to helping the band out.
If you are interested in volunteering, please fill out this form to let us know checking off the opportunities on this form. Filling out the form does not commit you to anything, this is just to let us know that you are interested and want to be contacted when the needs arise.
Below is a summary of the different volunteer opportunities.
Chaperone
Vital for helping students have a great experience during practice and off-site events. You ensure student safety and supervision during band camp, competitions, and/or other off-campus events. Chaperones ride buses, help with logistics, tend to any needs the students have, and keep things running smoothly throughout the day.
Drivers
We often have a need for drivers to drive kids around for mulch delivery and other door-to-door activities.
Business and Community Partnerships
The bands raise money via business sponsorships, and we also find ways to off-set costs via mutually beneficial community partnerships. Having people help build those community and business partnerships, even if you intend to focus on one specific partnership, is incredibly helpful.
Food Service
We feed our kids a lot—at band camp, competitions, and other events. Volunteers help serve, and clean up after meals/snacks to keep our students fueled and focused. Food service also sometimes involves shopping for groceries and home cooking in crockpots.
Prop Building
We have ambitious prop building goals every marching season. These are the big, beautiful structures you see on the field that add to the visual and overall effect of the show. We’ve already started this year, but it’s never too late to get involved. Whether you're handy or just eager to help, we always need extra hands. No experience required—experienced volunteers are there to guide you.
Prop Transport & Field Crew
Crucial to our on-field success! Volunteers help load, transport, and move props on and off the field at competitions and then get everything safely back to Beechwood. This crew gets to watch the show from the side-line, which iis great way to see your kid up close during a competition (and get some good photos).
Prop Maintenance
In addition to props that we build and transport, we also need to attend to regular upkeep and maintenance of all of the band’s property. This includes periodically organizing property, taking inventory, cleaning and maintenance
Events & Event Planning
Most of what we do is plan and put on events. From community events to fundraisers, we need help with logistics, setup, decor, and planning. We also have several big event fundraisers each year: mulch sale, festival of bands competition, winterguard competition (new this year!), and craft fair. For these big events, in addition to boots on the ground workers, we have some volunteers join a committee to assist with planning and then commit to taking on a role at the event (e.g. parking, ticket sales, concessions, etc….)
Professional Services and Organizational Management
We are a stand alone non-profit organization that requires a lot of administrative, financial, and community engagement work. We need people who can help with finances, budgets, finding volunteers to fill board positions, and legal matters. You don’t need to be interested in all of that. But if something in this area would be of interest, please check the box!
Spirit Wear Store
We are about to launch a beta test of our new online spirit wear store. We will then need assistance in designing merch, coordinating seasonal orders, managing our online store, and possibly helping with in-person sales at events.
Graphic Design
Have experience in design? We’re always looking for help creating artwork for spirit wear, flyers, banners, and other marketing materials.
Website Maintenance
If you're tech-savvy, we’d love help keeping our website updated and running smoothly, especially around key events and fundraisers.
Communications & Marketing
Help manage our email updates and social media, which are among our strongest tools for keeping families informed and engaged.
Photography
We try to take high quality photos at every major event, and we try our best to ensure that we get good photos of each kid. We’re lucky to have a couple of great photographers, but they are both parents of seniors. It would be great to have 1-2 people start working with them this season to take over that role.
Uniform Care
Help keep the band looking sharp by washing and maintaining uniforms between performances. A great option for those who prefer behind-the-scenes help or have difficult work schedules. We also often need folks to help add little artistic upgrades to the uniforms we purchase that sometimes involve little sewing and/or glue-ing.
